SOR III Year 1 CSB/Agency-level GPRA Intake Reports Now Available in Dropbox

OMNI is pleased to share a customized GPRA Intake report for your CSB/Agency. Similar to the full statewide report, your agency report contains compiled GPRA data specific to your CSB/Agency from the SOR III Year 1 period (October 2022 through September 2023). This reflects Year 5 of the SOR Grant.

  • CSBs/Agencies are provided with an Intake report. This report contains demographic and baseline characteristics of your clientele cohort.

  • In the past, we were able to also provide an Outcomes report that included demographic and baseline characteristics and matched “outcomes” based on follow-up or discharge data. However, because of the shift to a new GPRA tool, we were not able to produce outcomes reports at the CSB/Agency level this year due to a low sample size and lack of comparability.

  • You can still review the outcomes section of the main report, which shows aggregate change/outcomes.

The intake reports only include aggregated data. To ensure confidentiality in reporting, there must be 10 or more responses for each GPRA question. As such, individual GPRA questions with less than 10 responses were not included in the report and are marked with a "N/A.”

You may wish to compare your report data with the full SOR Annual Report findings, linked here and also available in the Reports section of the Virginia SOR Support website.

SOR Year 5 Annual Report Now Available

We are excited to share that the SOR Year 5 Annual Report is now available on the SOR Support website. This report covers evaluations from the fifth year of SOR funding for prevention, harm reduction, treatment, and recovery, and examines multiple data sources, including GPRAs and quarterly surveys. You can find the full report here, and on the SOR Support website under the 'Reports' tab. A short executive summary is available here.

We thank everyone for your data collection efforts, collaboration, and, most of all, the incredible amount of work accomplished by agencies and their communities under this grant!

Now Live! Hospital-Initiated Recovery Programs Dashboard

The Virginia HOSPITAL-INITIATED RECOVERY PROGRAMS DASHBOARD is now live!

We're excited to have this information public to educate legislators, program directors, and the larger community about Virginia’s hospital-initiated recovery programs, including peer recovery support programs based in the emergency department (ED) and other hospital departments, and Medication Assisted Treatment (MAT) Bridge programs.

Fixed! GPRA Submission Confirmation Alert Email Up and Running!

On Friday, we shared a notice to let CSBs/Agency staff who enter GPRAs into the Qualtrics online system that the process it uses to send an email confirming your entry is temporarily malfunctioning. As of today, Monday 3/4/2024, the GPRA submission confirmation alert email is now fixed, meaning you should receive a confirmation email once you submit a GPRA survey into the online system and if you indicate you want one.

GPRA Submission Confirmation Alert Email Temporarily Malfunctioning

This is a quick notice to let CSBs/Agency staff who enter GPRAs into the Qualtrics online system that the process it uses to send an email confirming your entry is temporarily malfunctioning. The Qualtrics team has prioritized this as an issue, as has the OMNI Team.

Rest assured your GPRA responses are still being recorded. When the next GRPA Tracking Sheet is produced on Monday, you can review that as a second form of confirmation that we have received the GPRA in the system.

OMNI Kudos to Chesapeake CSB for SOR III Follow-Up Interview GPRA Rate

For this month's Kudos, we would like to highlight Chesapeake Integrated Behavioral Healthcare; this agency has demonstrated a high interview follow-up rate of 75%. This rate is on target to hit the 80% Follow-up Interview rate that SAMHSA guides.

We acknowledge that Follow-up Interviews can be tricky and challenging to capture. To support other CSBs and agencies, Chesapeake Integrative Behavioral Healthcare was able to share some of their best practices and tips with us:

“I think the key to a successful follow-up starts with making a good connection during the initial interview. I often use humor to lighten up the serious and intrusive questions. It helps also to stress just how valuable their opinion is to us and that the survey helps us to continue providing some much-needed services. Being successful with follow-ups also requires flexibility, which means that I have to meet them on their time. I will often get asked can you call me back after work around 6p? I simply say, “yes” I sure can, even though it's often outside of my normal work hours."  --Kattrell Lewis

We know that everyone is working hard toward meeting their Follow-up Interview rate of 80%. We also want to remind everyone of two resources:

  • There’s an optional Word document tool to help CSBs and agencies keep track of clients. This tool is called the Client Locator Form. Download it and use it to support your tracking.

  • We also have the client-facing Engagement Information Sheet to better inform clients about the GPRA process and encourage buy-in.

OMNI Kudos to Portsmouth CSB for SOR III Intake GPRA Numbers

Happy New Year! In the upcoming year, we will continue to share some shout-outs about CSBs or Agencies that are doing well with intakes, follow-ups, engaging and supporting clients, and/or those that demonstrate a "spirit of inquiry" when engaging with our TA Team on GPRA administration issues.

For this month, we’d like to highlight Portsmouth CSB, for achieving a remarkable 100% of their GPRA intake target within the initial months of the current grant year. Kudos!

We know that everyone is working hard toward meeting their intake goal as set out by DBHDS this year. We would also like to remind everyone of a client-facing tool we have created to hopefully increase client engagement with the GPRA. This tool is the Engagement Sheet for Clients. It helps answer questions they may have, such as, "What is the GPRA?" and "Why do a follow-up GPRA?"

OMNI Kudos to Southside CSB for reaching more than 50% of their SOR III Intake Goal

We are a few months into Year 2, and wanted to continue sharing some kudos about CSBs or Agencies that are doing well with intakes, follow-ups, engaging and supporting clients, and/or those that demonstrate a "spirit of inquiry" when engaging with our TA Team on GPRA administration issues.

This month, we are highlighting Southside CSB. In our recent review of the data, we noted that Southside has already completed more than 50% of their Year 2 intake target. The Southside team is starting the year off strong with their efforts to complete their important GPRA interviews at intake. Kudos!
